Record, review, report and back up work-mile records while keeping the source of each record clear.

MileDone guide

MileDone is a mileage ledger for reviewing journeys and preparing reports. It keeps GPS observations, facts you enter and unresolved gaps distinct. It does not promise to capture every drive, determine who was driving, or guarantee a tax, audit or reimbursement result.

1. Choose how to record a drive

You can enable automatic capture, start a manual GPS drive, or create a manual record.

  • Automatic capture creates a candidate for you to review. It uses optional location and motion permissions while the app is not open or the phone is locked.
  • Manual GPS records while you start a drive and uses foreground location permission.
  • Manual distance lets you enter a known distance, origin, destination or odometer readings without location permission.

Declining automatic tracking does not prevent you from opening, editing or reporting from your ledger.

2. Review what the record means

Open Review and classify each candidate as Business, Personal, Commute, Passenger / Transit, or Not a drive. Vehicle motion alone does not establish who was driving. Review incomplete GPS records and unresolved gaps before including them in a report.

3. Check the source of a record

Use Evidence Center to see whether an entry is an observed GPS record, a manual fact or an unresolved gap. MileDone does not fill a missing signal with an invented road route or miles.

Lifetime Pro includes Gap Assistant. It lets you confirm whether you drove and add a distance or increasing odometer reading that you know. It does not create a route that was not observed.

4. Edit and organize records

Open a trip to review and edit the information you entered. Use vehicle, purpose, client or project fields where those options are available. Free includes one vehicle and five place aliases. Lifetime Pro adds unlimited vehicles and aliases, purposes, clients, projects, rules, advanced review, and merge / split tools.

5. Create a report

Open Reports to select a period and review totals. Free includes this month's summary, a standard PDF, and raw CSV export. Lifetime Pro adds all periods, custom ranges, rate tables, annual mileage and advanced reporting.

User-selected rates produce an estimate only. MileDone does not guarantee reimbursement approval, tax treatment or audit outcomes.

6. Back up, export and delete

Use CSV, PDF, backup and the system Share Sheet only when you choose to share a file. Basic protected backup and restore remain available on Free. Delete individual records in the app, and remove any backup files you created from their chosen location when they are no longer needed.

7. Purchase and restore

Lifetime Pro has a USD 39.99 US reference price and is a one-time purchase. Localized price and purchase availability are shown by each store. iOS and Android purchases are separate because MileDone has no shared account or entitlement server; restore a purchase on the original platform.

8. When a record is missing or uncertain

Check Tracking Health, Review and Evidence Center. Operating-system permissions, battery restrictions, force-quitting and GPS conditions can lead to missed or incomplete records. Add a manual fact only when you know the distance or odometer reading; otherwise leave the gap unresolved.
